Administrative Assistant

We are seeking a reliable, organized and results driven Administrative Assistant for our day to day operations. Administrative Assistant Reporting to the Treasurer This role ensures the efficient day-to-day operation of the Mosque supports the work of all Director and projects and actively participates in the successful execution of all events/workshops/programs.

The position will work closely with President, Treasurer and Secretary ensuring that all IMO administrative tasks are completed in an efficient and timely manner.

Hours: 30-40 hours / week Term:

Full Time Compensation: $12.00 – $15.00/hour

THE SPECIFICS: •Handle all administrative tasks assigned including mail •Coordinate meeting schedules and special events •Maintain up-to-date schedule hall rental and all programs •Assist in typing and distribute minutes of meetings •Replenish office supplies •Assist with marketing events (social media in particular) •Assist with fundraising activities and events •Assist to collect and track donations *Accept donations and issue receipts *Prepare bank deposits •Keep the offices organized and clean •Use computer software (QuickBooks) for recording revenues (donations) and expenses •Post and print accounts payable cheques. •Provide administrative support to all Directors and staff. •Greet and direct visitors to correct department •Respond to in-person, telephone and email inquiries.

WHAT YOU NEED TO BRING TO THE TABLE: • Be a college or university graduate – desirable but not a must have. A sound understanding of the not-for-profit and event industry •A post-secondary education •Experience with office administration and / or event management •Experience with a community organization as a volunteer or employee would be an asset •Excellent interpersonal and communication skills (written and verbal) •Strong facilitation, coordination and organizational skills •Attention to detail •Willingness to take initiative •Ability to work independently (with minimal supervision) and as part of a team •Strong analytical and problem-solving abilities •Ability to adapt to change quickly •Time management, organizational and planning skills •Strong computer skills (Word, Excel, PowerPoint), •Professional demeanour •Ability to work evenings and weekends If this sounds like you, we’d love to hear from you.
